R3 Journey Management Coordinator.
Job Summary:

• The R3 Journey Management Manager (JMM), Tanzania, reporting to the R3 Senior Coordinator Tanzania (R3SCU), is responsible for the management of the R3 Journey Management Cell, ensuring that the required R3 journey management systems are in place, coordinated and monitored efficiently.
• The JMM is to ensure that Journey Management Plan details are collated, distributed as required and that JMP records are securely stored.
• The JMM is to ensure that journey details, departure, check-in locations and timings, and journey termination details are all indicated on the JM Board.
• The JMM will ensure that assigned drivers are suitably briefed on their designated journeys, that the JMC is suitably briefed on all JMP vehicle movements during their shift and that the JMC monitors the progress of all JMPs.
• The JMM is responsible for the production and maintenance of all JMC procedures to ensure effective monitoring of JMPs, the recording of all localised approved urban area vehicle movements, Actions On unauthorised vehicle movements, deviations of JMP and initiation of relevant ERP actions. The JMC procedures will include processes to ensure that a comprehensive handover / takeover of duties is conducted when a JMC shift change occurs.
• The JMM is to ensure that the JMCs conduct their duties in a competent manner and that all JMC records are maintained appropriately and stored securely.
• The JMM is to ensure that JMCs are fully conversant with JMP procedures and the JMC roles and responsibilities with regards to incident reporting and emergency response actions.
• The JMM will assist the Senior R3SCU and Country R3 Manager with all vehicle incident investigations.
• The JMM will utilise the records collated by the JMC to facilitate weekly RAG, fuel usage, and vehicle movement and service requirement reports.
• The JMM will be responsible for the daily distribution of daily vehicle trace reports and responding to all questions from relevant line managers regarding vehicle movements.
• The JMM is to act as the focal point for the weekly collection and distribution of the Daily Vehicle Check reports from the drivers.

Management/ Supervisory responsibilities
• Manage the JMCs and their operations. Ensuring that the JMCs remain up to date with their training and are competent to complete their assigned tasks.
• Providing the R3SCU with annual performance assessments of the JMCs.
• Must remaining fully conversant with the JMP and ensure all travel requests that require a Journey Risk Assessment are accompanied by one.
• Will be the focal point for collating and processing approved travel requests. Ensuring that the service supplier received adequate notice to facilitate the request and assigns vehicles, drivers, paramedics and any other security requirements as identified by the JRA, in a timely manner.
• Maintaining local and international travel logs ensuring that vehicles and drivers are assigned as required and that passengers are advised in advance of the driver and vehicle details for their planned journeys.
• Coordinate the transfer of received, approved, journey management information to a readily accessible format for easy journey progress monitoring by the JMC, ensuring that the JMP Monitoring Board remains up to date and relevant.
• Responsible for ensuring that the relevant information contained in a JMP is shared with the appropriate sites and heads of departments.
• Assist in the planning and execution of security / emergency drills and exercises as directed by the R3 Country Manager / R3SCU.
• Assist in the coordination of emergency response activities as directed by the R3 Country Manager / R3SCU.
• Compile and distribute Vehicle Daily Trace Reports to the appropriate distribution lists.
• Compile and distribute the weekly refuelling and vehicle mileage reports.
• Compile and distribute the weekly RAG Reports.
• Responsible for oversight of vehicle maintenance, ensuring that vehicles service schedules are maintained through regular liaison with the vehicle service supplier.

Qualifications, Competencies and Experience Required
Qualifications, competencies and experience:

• 5 years’ experience in the management of a security / emergency / or other Operations / Control Room.
• 5 years’ experiencing in producing / maintaining / reviewing operational procedures.
• Experience of working in a multi-cultural environment.
• Excellent communications skills.
• Advanced written and spoken English.
• Able to act independently without instruction in high pressure situations.
• Ability to use MS Office (word, excel, Outlook, Power Point) competently.
• Competency in written and oral communication.
• Attention to detail and high level of accuracy in record keeping.
• A high level of integrity and understanding of the requirement for all project personnel to follow approved procedures, without exception.
• Analytical and problem-solving skills.

Desirable:

• Previous experience working within the Oil and Gas industries or other national / multinational corporation that adheres to international standards.
• Experience with IVMS systems.
• Previous experience in managing communications with multiple communications systems simultaneously – GSM, satellite phones and VHF radio.
