Job Description

PATH is seeking to recruit a Receptionist / Office coordinator. The office Coordinator / Receptionist will schedule & coordinate travel for visitors and staff including accommodations, vehicles, flights, etc. S/he will facilitate and coordinate requests for quotations of supplies and order approved office & program supplies. S/he will serve as an executive assistant to Country Program Leader helping schedule and plan meetings, may coordinate travel, compile, and organize relevant background materials for meetings, and monitor follow-up activities. S/he will answer telephones, take messages, and welcome visitors. S/he will assist with general office duties such as coordinating internal meetings/conference rooms, maintaining lobby area, receiving mail/packages, etc.

Key responsibilities include but are not limited to:
ADMINISTRATION/ COORDINATION:
• Ensure office cleanness by supervising the hired cleaning company
• Ensure continuous availability of office utilities
• Custodian of office petty cash
• Provide support to program Country Program Leader: Printing, copy and scanning the documents, manage appointments with external contacts and Arrange transport for out of office appointments.
• Solicit quotations from vendors for approved procurements.
• Support with document preparation such as typing, photocopying, and scanning as requested.
• Prepare Local Purchase Orders for approved procurements and send them to vendors.
• Receive and verify invoices received from various vendors, attach LPOs and submit to finance for payment processing.
• Arrange travel and hotel bookings for PATH staff, PATH consultants and partners as instructed.
• Handling of meeting logistics.
• Other duties that may be assigned by the supervisor.

RECEPTION:
• Answer telephones, take messages and receive / welcome visitors.
• Make calls for staff upon request
• Report and follow up on faulty lines.
• Maintain the appearance of the lobby / reception area and maintaining the schedule of the meeting rooms.
• Responsible for front office security
• Handle incoming and outgoing mails and parcels.

Required Experience
• Bachelor’s degree in Business Administration or equivalent relevant education background
• 2 years or more relevant experience is essential.
• Ability to communicate in English and Swahili is essential
• Good computer skills, especially in word, excel, email and internet
• Ability to work effectively and with sensitivity across barriers such as language, culture, and distance. Excellent listening skills and empathy.
• Strong communication skills (verbal, written, and interpersonal).
• Strong organizational skills.
• Demonstrated ability to work collaboratively with diverse teams and interface effectively with internal and external stakeholders.
• Excellent proofreading and editing skills.
• Proficiency in Microsoft Office.
• Flexible and adaptable to changing priorities.
• Ability to work with a variety of work styles and personalities.
• Demonstrated success working effectively while under deadlines.
• Ability to work in team environment with minimal supervision.

Candidate must have authorization to work in Tanzania
